For a long time, the number one request we’ve heard from agencies using AgencyZoom has been the same question: “Can GravityCerts send the files my client attaches on the quote form, upload straight into AgencyZoom automatically?”
The answer is Yes, and it’s live today!
We’ve spent the past several weeks rebuilding a big part of our GravityCerts and AgencyZoom integration from the inside out. Automatic file uploads are the new headline feature, but there’s really a whole package of reliability and accuracy improvements. Here’s what’s new:
The big one: automatic file uploads
Any file your lead attaches to a quote form, whether it’s ID documents, Dec pages, photos, signed apps, whatever you’re collecting, now uploads straight into AgencyZoom automatically the moment the lead is created. No more needing to download the attachments from your notification emails and re-upload them by hand. Now it just happens for you.
And it’s not just files the lead attaches manually. GravityCerts forms already generate a PDF of each form submission automatically. That generated PDF will be uploaded too alongside everything else.
If you have GravityCerts PDF Mapping addon, any completed apps will also be uploaded automatically after your website generates the mapped PDF document(s).
This new, highly requested feature is on by default and active for every GravityCerts client connected with AgencyZoom.
We also added the file upload feature when creating a Note in AgencyZoom. This toggle is off by default. So if you just need to add a note to a lead or customer and want to make sure any files get uploaded too, just toggle On Upload Files within the Create Note feed and all attachments, and generated PDFs will automatically upload to the contact’s account in AgencyZoom.
Built to be more reliable, not just more capable
Automatic file uploads are an amazing new feature, but that only matters if the Lead or Customer they’re uploading into gets reliably created in the first place. That’s exactly what we tightened up too.
- Fewer dropped submissions.
We found several instances where an occasional slow response from AgencyZoom could cause the submission to timeout and fail, even though AgencyZoom had actually processed it successfully on their end. We fixed that, so now submissions get the time they need to complete and properly get recorded. - Smarter, faster lookups.
GravityCerts integration searches for the lead and customer first, before creating a new lead/customer. This helps drastically reduce the probability of duplicate contact records in AgencyZoom. Now when the new lead is created, we remember that lead’s ID during processing, creating faster processing and fewer round-trips. There’s also less chance of running into any rate limits AgencyZoom may have. - Cleaner vehicle and driver data.
We cleaned up the vehicle and driver data. So only vehicles and drivers with real information get sent to AgencyZoom. This helps speed up the entire system. - More accurate Opportunities.
Opportunity creation now correctly recognizes the difference between a Lead and a Customer so Opportunities land where they’re supposed to. We also provide much clearer feedback if something can’t be created.
What this means for you
If you already have a GravityCerts website connected to AgencyZoom, none of these updates require any work on your end. These latest features are already active and running. FAQs
What kinds of files get uploaded automatically?
Anything submitted through a file upload field on your form, plus any document your form generates automatically, like a filled-out Fillable PDF or a Generated PDF declarations page. If your form already accepts it, it now flows into AgencyZoom too.
Do I need to change anything on my existing forms to turn this on?
No. For any feed that creates or updates a Lead or Customer, automatic file uploads are on by default, there’s nothing to configure. If you want it turned on for a form that doesn’t currently connect to AgencyZoom at all, just reach out.
Will this upload the same files twice if I have multiple AgencyZoom actions on one form?
No, that’s handled on purpose. File uploads are on by default for creating or updating a Lead/Customer, but off by default for Notes, specifically so the same attachments don’t get uploaded a second time if a form both creates a record and adds a note in the same submission. If you only use one or the other, you’re covered either way.
What happens if a file fails to upload?
It’s logged on our end and doesn’t affect anything else. The Lead or Customer record still gets created normally, and Opportunities, Notes, and everything else continue to process as expected. A file upload hiccup never holds up the rest of your submission.
Is this secure?
Yes. Files are sent directly from your website’s server to AgencyZoom’s own API. They’re never made publicly accessible or routed through a third party in between.
Does this work for both new Leads and existing Customers?
Yes. Whether a submission creates a brand-new Lead, updates an existing Customer, or adds a Note to either one, file uploads follow along the same way.
I’m already a GravityCerts + AgencyZoom customer. Is this live on my account right now?
